Public opening hours?
Saturday 9:45am - 4.45pm
Sunday 10:00am - 5:00pm
Set up times:
You can arrive from Friday 7th of February to set up between 2:00pm and 6:00pm OR you can set up on Saturday 8th before we open between 7:00 and 9:30am
Exhibitor arrival times:
Saturday: Please arrive between 7:00 and 9:00am
Sunday: Please arrive between 8:00 and 9:30am
Pack down / Exit times:
Friday: Please be ready to leave by 6:00pm
Saturday: Please be ready to leave by 6.00pm*
Sunday: Please be ready to leave by 7:30pm
*On the Saturday evening we will need to turn the exhibitor hall over to the Podling Party. To ensure the security of your stock/exhibits a storage room will be ready so exhibitors can pick up their stand and move it to the next room over which will then be locked. You will have between 4:45pm and 6:00pm to do this ahead of the party starting at 8:00pm. This will also mean on the Sunday morning you will need to collect your stand and move it back to its position.

What's included in my pitch?
Please see the sponsor exhibitor packs for specific details but all single pitches will include one 6x2ft trestle table and two chairs, double pitches will include two 6x2ft trestle tables and four chairs.
What can I sell?
Anything you feel is suitable to sell to a Dark Crystal loving audience, we love variety! Please check that you have the correct licenses for any copyrighted material. We will ask you to remove any non licensed products from display.
Can I sell Dark Crystal Merchandise?
You can only sell Dark Crystal merchandise at this event if it has been officially Licensed by the Jim Henson Company.
Can I leave my things overnight?
Yes, you can. Please see the Saturday evening section above.

How much does it cost?
Standard package: £300
Bronze package: £500
Silver package: £1000
Gold package: £1500
Platinum package: £2000
I can no longer attend, can I get a refund?

Parking
There is no onsite parking. Click here for local parking information.​ Exhibitors will be able to park and unload a vehicle on site during set up time.
What does my pass give me access to?
A vendor pass gives you access to the main Convention on Saturday and Sunday. At the main event you will be able to access all exhibits, meet the special guests, watch and/or take part in the Cosplay competition, watch any non ticked talks and take part in any of the free workshops. ​

What happens after I apply?
We aim to confirm your spot within 7 days with an email. We will then send out a 14 day invoice. If you need longer or would like to pay in instalments, not a problem! Just reply to the email to let us know.

​Providing Text and Images
As part of certain sponsorship packages we will need you to provide promotional images, logos and some blurb text. Please see your chosen sponsorship package for more details. This information must be sent to us in order for us to complete the relevant social media, newsletter posts.

Can I choose where to set up?
No, you will be allocated a table/booth before your arrival. We will aim to position your table/booth in the most appropriate place.
Can I use any of the walls or space other than the table(s)?
No, please do not attach anything to the walls.
Are backing tables available?
No.

Can I use my own table(s)?

Can I bring my own displays?
You are welcome to bring you're own displays, shelves, roller banners, small props, etc. Please do not bring promotional flags or any trip/fall Hazards.

GENERAL TERMS OF USE
All Vendors & Artists must have their own public liability insurance. All Vendors and Artists are responsible for making sure their area is clean, tidy and free from hazards. All rubbish/waste MUST be removed at the end of the event. If vendors are seen using the bins provided for attendees they may be fined by the venue. We reserve the right to remove anyone from the event if we feel they are acting in a way that is inappropriate or harmful to others. All pitch fees are non refundable. Set up times are to be strictly adhered to and subject to any necessary changes. Vendor passes are non transferable. All items sold must adhere to laws pertaining to copyright and consumer sales. Thames Con Events reserve the right to change or update timings at any point before the event if deemed necessary. Vendors are not permitted to bring their own backing tables.
